Analyze and define hardware and software
requirements necessary to meet company objectives.

Develop annual hardware and software upgrade
plans with cost estimates for submission to management. Co-ordinate
with management and PC users to ensure equipment allocation
is effective.

Develop and publish computer use policies
and ensure employees sign statement of understanding prior to
use.

Develop and maintain information retrieval
tools, utilizing spreadsheets, databases, or other effective
means, to provide users with accurate, timely data as needed.

Develop and maintain data collaboration objects
for company-wide information sharing and dissemination.

Make recommendations to management on whether
to repair or replace malfunctioning or outdated hardware, including
supporting cost analysis.

Monitor warranty periods for new hardware
and complete required documentation.

Periodically inventory all hardware and software
to prevent loss.
-
Maintain accurate asset tracking records
and pricing information for insurance and depreciation values.
-
Maintain configuration control of PCs to
ensure all users have the same or compatible versions of software.

Troubleshoot and repair PC, network, and
printer problems when possible. Request outside agency assistance
when problems exceed in-house capabilities.

Install new or upgraded software on PCs at
scheduled times that minimize user down time.

Conduct periodic disassembly, cleaning, and
preventative maintenance of hardware.

Train new users in basic PC operation and
local practices prior to first use.

Conduct periodic spot checks on all PCs and
servers for evidence of unauthorized use, illegal software,
tampering with hardware, and disk capacity nearing limitations.

Ensure all computer systems are protected
with the latest available anti-virus software.
-
Establish and monitor stock levels of computer
support supplies, including blank CDs, diskettes, printer ink
and toner cartridges, cleaning supplies, and spare parts as
needed.

Keep abreast of major technological changes
in the information management field that could potentially hurt
or improve company profits. Apprise management of impacts.

Research and evaluate new software or demos
prior to implementation to ensure smooth transition.

Ensure critical data is backed up daily and
one copy is stored at an off-site location.
-
Perform periodic after-hours system checks
including hard disk defragmentation, disk error checking, and
removal of unnecessary files/programs from computers.
-
Monitor network traffic and usage to identify
bottlenecks, potential problems, and needs for system capacity
expansion.

Routinely remind PC users of their responsibilities
for equipment care and importance of back-ups.
-
Brief all users in advance (if possible)
on upcoming changes to hardware, software, data retrieval tools,
policies, or availability of resources.

Ensure all PCs have working power back-up
systems to enable users to save data in the event of a power
loss. Test back-up batteries on a periodic schedule.

Ensure original software CDs or diskettes
are stored in a secure place to prevent misuse or theft.

Establish and maintain an effective electronic
record keeping system for mass storage drives with scheduled
disposition dates for each type of record not kept indefinitely.

Establish e-mail addresses for all PC users
and alternative routing procedures for e-mail addressed to employees
who do not normally operate a PC, such as field crews.

Establish a master password list and store
in a safe, secure location accessible by the primary and alternate
MIS specialist.

Develop, in conjunction with marketing, and
maintain internet web pages for sales and/or advertising.

Perform all other tasks/duties as may be
assigned by the Operations Director.
